Plain English summary: Your student data belongs to your district. We store it securely in Google Sheets under your district's access. We never sell, share, or use student data for any purpose other than running HomeRoom for your school.

1. Who We Are

ClassLens is a classroom management software product ("HomeRoom") developed and operated by ClassLens ("we," "us," or "our"), based in Eastern Kentucky. We provide live classroom dashboards for K-12 school districts. You can reach us at support@classlens.live.

2. What Data We Collect

When your district uses HomeRoom, the following data is collected and stored in Google Sheets:

Student first and last names (as entered by teachers)
Daily attendance records (present, absent, tardy)
Hall pass logs (student name, destination, time, duration)
Behavior notes (positive and corrective, timestamped)
Nurse visit logs (student name, time, optional note)
Emergency headcount records
Teacher and administrator names, room numbers, and school assignments
Schedule and lunch menu information entered by administrators

We do not collect Social Security numbers, addresses, grades, test scores, medical records, or any financial information.

3. How We Store Your Data

All district data is stored in Google Sheets hosted on Google's servers. Data is processed through Google Apps Script. Your district's data is stored in a dedicated Google Sheet — it is never combined with or accessible by other districts.

4. How We Use Your Data

We use your district's data exclusively to provide the HomeRoom service. Specifically:

Displaying classroom data to authorized teachers, principals, and district administrators
Generating daily summaries and reports for authorized staff
Maintaining attendance, behavior, and hall pass logs for your district's records

We never sell, rent, share, or use student data for advertising, analytics, research, or any purpose other than operating HomeRoom for your district.

5. Who Can Access Your Data

Access to your district's data is controlled by a PIN-based authentication system with three tiers:

Teachers — can only view and edit data for their own classroom
Principals — can view data for all classrooms in their school
District Administrators — can view data for all schools in the district

ClassLens staff have technical access to the Google Sheet for setup, maintenance, and support purposes. We will never access your data except when directly assisting with a support request, and only with your knowledge and permission.

6. FERPA Compliance

ClassLens operates as a "school official" under FERPA (Family Educational Rights and Privacy Act) with a legitimate educational interest in the data necessary to provide the HomeRoom service. By entering into this agreement, your district designates ClassLens as a school official for purposes of FERPA compliance.

We do not disclose student education records to any third party without prior written consent from the district, except as required by law.

7. Data Retention

Your district's data is retained for as long as your subscription is active. Upon cancellation:

You will have 30 days to export your data from Google Sheets
After 30 days, your district's Google Sheet will be deleted
We do not retain copies of your data after deletion

8. Data Security

We take reasonable measures to protect your data, including:

PIN-based authentication with brute force lockout protection
School-level data isolation — teachers cannot access other schools' data
HTTPS encryption on all connections
Google Sheets set to private access — not publicly accessible
Registration codes required for administrator account creation

9. Your Rights

Your district retains ownership of all student data. You have the right to:

Access and export your data at any time from Google Sheets
Request deletion of your data at any time
Request a copy of any data we hold about your district
Correct any inaccurate data

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify district administrators by email at least 30 days before any material changes take effect. Continued use of HomeRoom after that date constitutes acceptance of the updated policy.
